Our process
How Our Event Planning Process Works
Our event planning process has four steps, from your first message to the last guest leaving.
Four steps
Our event planning process, from first message to last guest
Each step has a clear output, so you always know what happens next and what you are paying for.
- Step 1 of 4
Tell us your plan
Call or WhatsApp with the event type, date, guest count, venue (or venue type) and a rough budget. Photos of looks you like help. For larger events and farmhouses, we may suggest a site visit.
- Event type and date
- Guest count and venue
- Photos of looks you like
- Step 2 of 4
Get an estimate
We send a quote based on the scope you want: decor only, a single function, or full management. You can try our budget calculator first for indicative ranges.
- Decor only, one function or full management
- Itemised in PKR
- What is included, and what is not
- Step 3 of 4
Finalise the details
We agree the theme, colours, stage, seating, lighting, suppliers and schedule with you, and keep you updated as plans firm up.
- Theme, colours and stage
- Seating, lighting and sound
- Suppliers and a timed schedule
- Step 4 of 4
We manage the day
Our team sets up before guests arrive, keeps suppliers on schedule, handles issues on site, and takes the setup down afterwards.
- Setup before guests arrive
- Suppliers kept on time
- Takedown after the event
At every step
What you'll always know

The schedule for each function
Setup, arrivals, food and finish times, planned around the 10 pm rule.
Before you message us
What helps us plan your event faster
You do not need everything decided before you get in touch. A few details are enough for a useful first conversation and a realistic starting range.
The details that matter most
- The occasion and date, even if the date is only a month for now
- The guest count, because food and space depend on it
- The venue, or the area if you have not chosen one yet
- A rough budget, so we can suggest what fits
- Photos you like, from Instagram, Pinterest or past family events
How long event planning takes
A birthday or dholki at home can often be arranged in two to four weeks. Weddings in the winter season, from November to February, should be booked as soon as the dates are fixed. Corporate events usually need four to eight weeks for the venue, AV and invitations. If your date is close, message us anyway and we will tell you honestly what is possible.
Getting a quote
After the first conversation we send a written quote in PKR that lists every item: stage, florals, lighting, furniture, sound, setup times and anything we are coordinating for you. You can remove or change items before you confirm. For a starting figure before you call, try the event budget calculator.

Ask a plannerDo you do site visits?
For larger events, farmhouses and schools, yes. For smaller home events, photos or a short video of the space are often enough.
